Administrative Assistant FBR have a great opportunity for an Administrative Assistant to join a growing organisation based in Park Gate. The Administrative Assistant will provide admin support to the Land Department. Key Responsibilities: Provide general administration for the Land Department; to include research, obtaining documentation/plans and general co-ordination as necessary in relation to Land Acquisitions/Disposals for the Group Develop and maintain relationships with key internal/external customers and external suppliers. Liaise with the respective Manager in order to understand all necessary aspects and needs for their department. Provide timely and accurate reporting either on a regular or ad hoc basis Answer the telephone, screening and direct calls according to agreed standards including timeliness and accuracy, ensuring calls records are maintained as necessary. Take and relay messages via the telephone or in person, ensuring a professional service is given to all callers who contact the Company. Arrange internal/external meetings and manage the diaries as per their instructions. Provide general administrative and clerical support such as sending letters, emails and deal with general correspondence for the respective Managers, in accordance with instructions. Undertake all administration tasks in support of the day to day running of the Land Department including initial site feasibility assessments on prospective land. Assist in utilising specific software such as Pro-Map and Land Registry. Obtain Ordnance Survey records, Highways Plans, Service and Utility Plans, Flood Risk Assessments and any Tree Preservation Orders reviewing the information obtained to highlight any concerns. Completing site overlays to present to the relevant Manager. Assist in obtaining/downloading relevant planning information in order to complete site feasibility and summarising when asked. Follow up leads, in relation to land acquisitions, recording all relevant information. Qualifications and Skills: Previous administration experience. Proficiency in all Microsoft office applications. Ability to problem solve and resolve issues effectively. Strong Communication Skills both oral and written. Good organisational and time management skills. Confidence in dealing with a variety of workload.
