Senior Administrator / Management Assistant Are you a highly organised, professional administrator with proven experience of supporting a CEO or senior leadership team? We have a fantastic opportunity to undertake a varied senior administration role in our growing, charitable organisation. Our Organisation The Cheltenham Trust is an independent charity that manages five iconic venues at the heart of Cheltenham including the Pittville Pump Room, Cheltenham Town Hall, Wilson Art Gallery and Museum, Leisure at Cheltenham, and the Prince of Wales Stadium. We are an ambitious and dynamic organisation, and we recognise that we need the right people with the right skills to help us achieve our vision and goals. The Role Senior Administrator / Management Assistant Reporting to the Chief Executive Officer, you will provide comprehensive personal assistance and administrative support to our CEO and senior leaders. You will maintain the efficient operation of the office and undertake the following duties: Support our CEO and executive team members with a variety of tasks related to organisation, meetings, and communication Support our CEO with diary management, scheduling internal/external meetings, prioritising appointments and providing meeting briefings and preparation Attend executive meetings and coordinate agendas, minutes, communication messages and actions, ensuring accurate distribution and follow-up, as required Support the executive team with researching and drafting policy, reports and template documents Manage the room bookings calendar and space availability, and set-up as required Support project and sub-working groups with meeting arrangements, notes and follow-up actions Manage the acknowledgement, coordination and logging of all matters and complaints raised to the CEO and executive team Support the CEO in scheduling direct line reports 1-1s, appraisals, and recording annual leave, sickness etc. The Package As the Senior Administrator / Management Assistant you ll be working from our Head Office in Cheltenham, with some travel to our trust venues located within Cheltenham, and will benefit from: Permanent contract Option to work either 40 or 32 hours per week, between the hours of Monday to Friday 9am to 5:30pm. If you prefer to work 32 hours per week the hours can be flexible Monday to Friday, or over 4 days per week (must include Mondays). It is expected that working hours will align to the meetings schedule and executive requirements as set out in key duties Salary in the region of £23,000 to £24,000 (based on 40 hours), potentially negotiable, with the level dependent on experience 22 days annual leave, plus bank holidays Fantastic employee leisure membership discounts Staff discounts Employee assistance programme Our Requirements Senior Administrator / Management Assistant Proven administration experience Experience of organising, planning and prioritising workload effectively to meet deadlines Discreet and respectful of the importance of confidentiality Proactive and solutions-based approach Good knowledge of Microsoft Outlook, Word, PowerPoint and Excel Excellent oral and written communication skills, with the ability to engage and establish credibility with a variety of audiences and stakeholders Excellent proof reading and document layout skills Self-motivated with the ability to use own initiative and work well in a team Ability to work efficiently whilst maintaining a high level of attention to detail Positive and collegiate attitude Ability to understand, empathise, and deliver against stakeholder needs Flexibility towards hours to support business and meeting requirements Although not essential, experience supporting a management team would be highly advantageous.
